Hiring A Virtual Assistant in 2020

In this article, I will share with you our experience as VA managers, how to hire, what questions to ask, and more so you can build your virtual team.
There are plenty of tasks a virtual assistant can perform for you and your business it is up to you to assess which tasks you would like to delegate. When I am mentoring my eCommerce clients I always ask them to walk through their day and write EVERYTHING down. Once they have written ALL of their tasks down I ask them to highlight them in 3 colors: Green (most profitable), Yellow (profitable but time-consuming), Orange (things that are time-consuming but must be done). Now that my mentoring client has their 3 lists it is then their job to delegate the various orange tasks.
The tasks can be as simple as editing your blog or listings, helping organize tasks and projects for your business, or even making calls to suppliers. You as the owner need to assess the appropriate tasks you want your VA to perform. Some additional tasks you can start to delegate include: ordering food and supplies for your office space, set up meetings, researching products, trends or suppliers. Hiring a virtual assistant can help you focus on the most profitable tasks since you are truly the mastermind of your business.
After you identify the tasks you want to delegate you will need to find a VA that will be a good fit for your business. There are many ways you can go about hiring a virtual assistant, from different websites to references you might have been given from friends. The first thing you should do is go to some websites that allow you to interview and hire VA. We use Freeup for our VAs (affiliate link). Freeup allows us to post the job, interview then negotiate the rate of the hire. We use skype to interview and we always mention that we will hire on a trial basis.
So, now that you have your list of people you want to contact. It is time for you to start the interview process. You should start with an application for them to fill out. It’s not just any application, this one is where you want them to be able to find different things on the web. An example might be “find the email address of city hall in New York City ” or “ Find German Schools in Maryland and organize them by rankings’ ‘. Assigning a few small tasks prior to the interview can help you weed out the applicants that are not a good fit.
After you have identified the applicants you want to interview you can set up the conversations. As mentioned previously, we use skype for a phone conversation. You can also use tools like whatsapp or zoom. An important thing to keep in mind is that during the interview you want to build trust if they are lacking in their responses or do not have the necessary skills you do not have to hire them. One reason why you want to interview the VA is to make sure they can understand the English language and can understand the scope of the task(s) to be completed. You need to make sure they can do the tasks you assign so during the interview process you can show the task and take their questions. During the interview we also ask the following questions:
How many hours are you looking for?
Are you performing similar tasks for anyone else?
What is the stability of your internet?
What plan do you have in place if you lose internet access?
What is your preferred form of communication?
What hours are the best to contact you?
Now that you have hired your virtual assistant it is recommended to hire for a 2 week trial period to ensure they are a good fit for your business. Communication is KEY we utilize tools like video training, zoom calls with training and QC (Quality Control) each task they perform. Be sure to provide feedback on work and corrective communication on any errors you may encounter.
